What is a “tenant,” and what does multi-tenant mean?

A tenant is simply your company. VendGO is a multi-tenant platform, which just means many companies run on the same platform — each with its own private workspace, branding, and data. You see only your company; every feature and solution is tailored to your needs.

Who is VendGO built for?

How do customers report a broken machine — do they need an app?

No app required. Customers have two ways to reach you: scan the QR code sticker on the machine with their phone camera, or call the Twilio phone number on the machine. The QR code opens a form branded to your company, pre-filled with location and machine ID; the phone number answers with an automated menu and texts back an SMS link to the same form. Either way they submit in seconds, and the assigned technician gets an instant SMS and email.

Can VendGO process customer refunds?

Yes. Whether a customer scans the QR code or calls the Twilio number, they’re texted an SMS link to report the issue, then routed to a refund request form. Office staff review and approve refunds, and approved payments export to QuickBooks — no manual transcription.

Does VendGO replace voicemail and missed customer calls?

Operators forward their business phone line to VendGO’s Twilio number. Calls are answered automatically by a menu — press 1 to report an issue, press 2 to request a refund. Either choice sends the customer an SMS link to report the issue, and refunds queue up after that, so everything completes over text. No live calls to answer, and calls that used to sit in voicemail now generate work tickets.

Does VendGO export to QuickBooks?

Yes. Monthly invoices and approved refunds export straight into QuickBooks Desktop — no double entry and no manual reconciliation between systems.

How fast can a new company get set up?

In minutes, not weeks. Each company gets a dedicated subdomain (theirname.vendgo.co), and routes, locations, and machines import from a single CSV with validation and preview. Branding (colors, logo, naming) is configured per company.

What happens when I outgrow Starter?

You graduate, not hit a wall. When your fleet passes 150 machines — right about when you start wanting more help — you move up to Complete, which unlocks the Service Center, QuickBooks invoicing, parts inventory, multi-route management, and more. Your data comes with you and nothing is rebuilt. Complete is a little more per machine because it does a lot more.

How is each company’s data kept separate?

Completely. Every company has its own private, walled-off space in the system — your data is never visible to anyone outside your business. The separation is built in at the deepest level, so it holds up no matter what.
